Privacy Policy
A plain-English summary of how Baian handles information for the website, web app, and mobile app.
1. What this policy covers
This Privacy Policy explains how Baian Inc. handles information when you use Baian websites, web apps, mobile apps, live translation rooms, captioning tools, support channels, and related services.
Baian is built for live translation, captions, and Islamic content workflows. Because those workflows can involve audio, transcripts, translations, captions, account details, and event information, this policy explains those categories in plain language.
2. Information we collect
Account and contact information, such as your name, email address, organization name, role, login details, and messages you send us.
Event, room, and setup information, such as event names, language selections, QR or listener links, organization settings, admin actions, and usage connected to a live session or captioning job.
Content you provide or process through Baian, such as live audio, uploaded audio or video, generated transcripts, translations, captions, subtitle files, notes, and related metadata.
Payment and subscription information, such as plan, entitlement, purchase status, renewal status, invoices, and app store or payment processor references. Payment card details are handled by payment providers and app stores, not stored directly by Baian.
Device, log, and usage information, such as browser or app version, approximate region, timestamps, diagnostic logs, feature usage, error reports, and security events.
3. How we use information
To provide Baian features, including live translation, caption generation, listener access, account login, billing, support, and app functionality.
To process audio, transcripts, translations, captions, and related content so the service can produce the output you request.
In the Baian iOS app version 1.0.1 and later, a personal live microphone session starts only after you give the in-app AI processing permission. If you decline, Baian does not start or reconnect the session and sends no session audio or text for AI processing. If you later withdraw permission, Baian stops the active session and prevents any further audio or text from being sent; withdrawal cannot undo processing that already occurred before you withdrew.
To improve reliability, quality, safety, security, language coverage, and product performance.
To communicate with you about setup, support, service updates, billing, security, and account changes.
To comply with legal, tax, accounting, platform, app store, and security requirements.
4. Service providers and sharing
We may share information with trusted service providers that help us run Baian, such as cloud hosting, authentication, storage, analytics, payment processing, app store billing, transcription, translation, AI processing, communications, and customer support providers.
In the mobile personal-listening flow, live audio uses LiveKit for realtime transport and egress, speech-to-text is performed by Soniox, and the private session recording is stored in private Cloudflare R2 storage. Live translation text is sent either directly to OpenAI or through OpenRouter, which may route it to an OpenAI or Google model depending on the deployed language route. OpenAI processes recap requests. Languages using cloud spoken translation send translated text to Cartesia, OpenAI or Soniox; Somali voice can be generated inside Baian without sending that text to a voice provider.
Baian does not enable model training by default. Any separate training or improvement use requires its own opt-in where offered.
We require service providers to handle personal information only for the services they provide to Baian, with protections consistent with this policy and our agreements with them.
If your account is part of an organization, workspace, mosque, school, event, or team, organization administrators may be able to see account, usage, room, billing, or content information connected to that organization.
We may share information if required by law, to protect users or the service, to investigate abuse, to enforce our terms, or as part of a business transfer such as a merger, acquisition, or restructuring.
We do not sell your personal information.
5. Audio, transcripts, translations, and captions
Baian may process live or uploaded audio and generated text to provide translation and captioning features.
For a personal live session, the requested microphone audio is used to create speech-to-text, live translated text, and—if you choose it—spoken translation. A recap request uses the session text to generate a recap. Each provider receives only the audio or text needed for the selected feature and route.
The mobile app keeps saved history and account-backed session records private to the signed-in account, subject to the organization access described above. Baian iOS version 1.0.1 and later lets a guest browse without an account, but a guest cannot start a paid live session or save private history until signing in.
AI and speech systems can make mistakes. You should review important outputs before relying on them for legal, medical, religious, financial, or safety-critical decisions.
Some content may be processed by service providers that help with speech recognition, translation, captioning, AI quality, hosting, and storage.
6. Baian Caption in ChatGPT and Codex
You can connect Baian Caption to ChatGPT or Codex and make subtitles from audio or video files you share in a conversation. This section covers what that connection collects, who processes it and how long it is kept. The rest of this policy also applies.
What Baian receives
Your Baian account ID, from the Baian sign-in you approve when you connect. It links the connection to your account.
Each audio or video file you ask Baian Caption to prepare. We copy it from the download link the app provides, which for an attached file is a temporary link, then record its size and measure its length.
The app's identifier for that file, which we keep only in a one-way hashed form. We do not keep the download link or the file name.
The languages, processing mode and credit amount confirmed for each job, and any title sent with it.
The credits and Caption minutes each job uses, which we record in your account's billing records.
How we use it
We use this information to check files, show how much of your Caption allowance a job needs, run the jobs you confirm, apply your plan's limits and keep your usage records. Baian sends ChatGPT or Codex your Baian account ID, which it uses to recognize the connected account, and the results you ask for, such as subtitles, transcripts, job status and allowance figures. OpenAI's terms and privacy policy apply to what ChatGPT and Codex receive.
What the connection can access
The connection can read your saved Caption jobs and your Caption allowance. It cannot see or change Baian Live sessions, recordings or transcripts, or mosque settings. It cannot buy credits, use paid overage, change your subscription or see payment methods.
Service providers
The connection runs on Cloudflare, and copies of files are stored in Cloudflare R2. Modal measures each file's length and runs caption processing. Soniox transcribes the audio, except Pashto audio, which ElevenLabs transcribes. AI models we access through OpenRouter check transcripts against the audio and translate subtitles. The Caption pipeline uses Google Gemini and can fall back to an OpenAI model for text translation. Modal and Soniox fetch files through temporary links. Job records are stored with Supabase, and usage is recorded with our billing provider, Autumn.
7. Baian Caption: uploads you do not use and jobs you start
Uploads you do not use
An upload that is not used to start a job within 24 hours expires, and an hourly cleanup then deletes the copy. This usually happens soon after the 24 hours but can take longer, for example when the cleanup has a backlog or cannot confirm that no job uses the file. We keep a small record of each upload without the file itself: your account ID, the hashed file identifier, a fingerprint of the file's contents, the file's size and measured length, its status and its timestamps. These records have no automatic deletion date while your account exists. Deleting your Baian account removes them.
Jobs you start
When you start a job, the uploaded file becomes that job's audio. We keep the file, the transcript and the subtitles with the job in your account. They are not deleted automatically after a set period.
8. Baian Caption: deleting jobs, deleting your Baian account, and disconnecting
Deleting jobs
Caption jobs cannot be deleted from ChatGPT or Codex. You can delete them in the Baian web app.
A normal delete hides the job and removes its stored audio file, unless another of your jobs still uses the same file. In that case the file is removed when no remaining job needs it. A normal delete does not delete the transcript or subtitles, which stay in our database. Audio can remain if removal fails.
Permanent deletion is an account setting that Baian can turn on, and it is off by default. With it on, deleting a job removes its records and queues removal of the audio copies Baian tracks and the transcription provider's transcript. If another of your jobs still uses the same audio, its removal waits until no remaining job needs it. Failed removal is retried automatically. After 12 failed attempts, it is flagged for manual review. Permanent deletion does not apply to jobs deleted before it was turned on, to files you downloaded or to anything already in ChatGPT or Codex. To ask about permanent deletion or another deletion request, email [email protected].
Deleting your Baian account
Deleting your Baian account deletes your Caption jobs with their transcripts and subtitles, the audio and video copies we stored for them, the transcription provider's transcripts, and this connection's upload records. Removing stored files can take about a day to finish. It does not affect files you downloaded or anything already in ChatGPT or Codex.
Disconnecting
Disconnecting Baian Caption in ChatGPT or Codex does not delete anything stored in your Baian account. A connection that is not used for 30 days expires, and you then need to sign in again.
9. Retention and deletion
We keep information for as long as needed to provide the service, maintain accounts, support users, meet legal or accounting obligations, resolve disputes, enforce agreements, and protect the service.
Private personal-session recordings and saved history remain available while the account exists unless you delete an individual session from History, use Delete all recordings, or use Delete account in the mobile app. Service providers may retain limited processing or security records under their contracts, and backups or legal records may remain for the limited purposes described below.
You can request access, correction, export, or deletion of your information by contacting us. In the mobile app, open Settings, then Delete account, to delete the Baian account records and associated app records described on our Account Deletion page.
Some information may remain in backups, security logs, accounting records, app store records, or legal records for a limited period where needed for security, compliance, or legitimate business reasons.
10. Your choices
On the Baian marketing website, optional analytics stays off until you accept it. We use PostHog to measure page visits, link clicks, sections viewed and questions opened, grouped by device size and a broad source category such as direct, organic search, paid, social, email, AI referral or referral. This uses browser storage and a pseudonymous identifier. Website analytics does not collect form contents, audio, screen recordings, raw URLs or campaign parameters. You can decline or withdraw your choice through Privacy choices at the bottom of the website. This choice applies to the marketing website, not the separate Baian apps.
You can choose not to provide certain information, but some features may not work without it.
In the Baian iOS app version 1.0.1 and later, you can withdraw the AI processing permission at any time in Settings, then Privacy, then AI processing. Withdrawal stops an active personal live session and prevents new audio or text from being sent for that AI processing. The iOS microphone permission is a separate device setting.
You can contact us to ask for access, correction, deletion, or help with privacy questions.
You can manage platform-level permissions, subscriptions, and purchases through your device, browser, Apple App Store, Google Play, or payment provider settings where applicable.
11. Security
We use reasonable technical and organizational measures designed to protect information. No internet service, app, or storage system can be guaranteed to be perfectly secure.
If you believe your account or information has been compromised, contact us as soon as possible.
12. Children
Baian is not intended for children under 13. If you believe a child has provided personal information to Baian, contact us so we can review and delete it where appropriate.
13. International use
Baian may process information in countries other than the country where you live. Those countries may have different data protection laws.
14. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and take additional steps where required by law or platform rules.
15. Contact
For privacy questions or requests, contact Baian at [email protected].
